Guidelines for Undergraduate Students Scholarship

Introduction:

XIM University is a Jesuit University, which came into being with the passing of Odisha (Amendment) Act 2021 in the Odisha Legislative Assembly on 11th May 2021, renaming Xavier University as XIM University. In keeping with its Vision, Mission and Objectives, XIM University, offers scholarships to provide financial assistance to meritorious, ST, SC, and Economically Backward/Minority students to meet their educational expense. This scheme is being implemented from the academic year 2023-24 for the undergraduate students.

1. Scope:

The scholarships will be awarded to the students who, on completion of their respective Plus Two Board Examinations, have applied and have been selected for an undergraduate course in the university in the academic year 2023-24.

2. Eligibility:

  • Category A – Merit Scholarship:

Students with 90% marks (for core subjects, refer Annex III) in 12th Board Examination or equivalent will be provided scholarship worth 30% of the course/tuition fee only for 1st year. This offer will be continued only if the student secures a minimum CGPA of 8.5 (without any back paper) in each of the subsequent year of the study at the University.

  • Category B – Scholarship for the SC, ST, Economically Backward/Minority Students:

Three students, one each belonging to each of these categories, will be awarded scholarship worth 30% of the course/tuition fee only in the first year of the study in the university. This offer will be continued only if the student secures a minimum CGPA of 7.5 (without any back paper) in each of the subsequent years of the study at the University. The number of such scholarship sanctioned for the aforesaid categories are as follows:

  • Category C – Merit scholarship for the topper of the batch:

This scholarship, worth 30% of the course/tuition fee, is given to the topper (highest CGPA) of each of the undergraduate programs of the university in the subsequent academic year.

3. Procedure for the Selection and Award of Scholarship:

3.1 A scholarship application will be invited every year.

3.2 XIM University Scholarship Portal (XUSP) at xim.edu.in will be opened for online application in the month of December , i.e., from 15th December to 15th January 2024.

3.3 All applicants must submit the online application form, with the following documents:

    • 3.3.1 Academic Records (12th Standard / Equivalent)
    • 3.3.2 Identity Proof
    • 3.3.3 Aadhar Card
    • 3.3.4 Recent Photograph
    • 3.3.5 Signature
    • 3.3.6 Medical Fitness Certificate
    • 3.3.7 Valid Caste Certificate/ E-Certificate issued by the Tahsildar (if applying through Category B)
    • 3.3.8 Income Certificate issued by State Government /Income Tax Return (if applying through Category B)*

*To be eligible for this scholarship, the annual family income of the applicant’s parent/guardian from all sources in case of ST/SC/EBW/Minority should not exceed Rs. 2,50,000/- per annum.

3.4 The submitted online documents will be checked and verified (against the original documents) by the respective offices of the Academic Deans. Applicants must submit a medical fitness certificate in the prescribed format signed by a physician attesting that the applicant is medically fit for his/her study at the XIM University.

3.5 Applications that fail to meet the deadline, requirements or are incomplete, will be rejected.

3.6 The scholarship committee will review only completed applications endorsed by the Dean of Schools.

3.7 The scholarship committee will prepare a list of students likely to be eligible for scholarship.

3.8 For those who are applying through Category B, the income of their parents will be taken into account before preparing the list.

3.9 All applicants will be notified about the status of their scholarship through official email in due course. The list of successful students, awarded scholarship, will be published on the website as well as on the University’s notice board.

3.10 The candidates will confirm whether to accept the scholarship or not within 7 days of receiving the mail. The candidates from whom replies are not received within 7 days of the notification will not be considered for scholarship.

3.11 The candidates who confirm the acceptance of Scholarship have to send the ‘Statement of Particulars’ form to the scholarship committee.

3.12 Scholarship will be disbursed to the selected students by way of a cheque/e-transfer based on the name, address for communication and details of bank account of the student in which the scholarship is to be paid, furnished by the student in the ‘Statement of Particulars’ form.

3.13 In case of any ambiguity about applicant’s eligibility, s/he can contact the office of the respective Academic Dean of the Schools for clarification.

4. Duration of Scholarships and Its Renewal:

A scholarship under the scheme is renewable from year to year till the completion of the program based on the following terms and conditions:

4.1 A Scholarship Renewal application must be submitted by the student each year, based on their academic performance, as outlined in the eligibility criteria.

4.2 Student must maintain a minimum CGPA of 8.5 for Category A, CGPA 7.5 for Category B, highest CGPA for Category C and abide by the scholarship policy.

4.3 A student is eligible only for one scholarship under any one of the categories.

4.4 Except in the first year, the grant of scholarship will also be subject to the adherence of Manual of Policies (MOP) of the school and rules and regulation of the University and with an attendance of at least 75% by the student (without any back paper), during the preceding year.

4.5 Complaints against the students regarding indiscipline would lead to forfeiture of scholarship.

4.6 If the student is unable to appear in the annual examination owing to illness and/or any unforeseen event, the award of scholarship may be renewed for the next academic year on submission of medical documents (test reports, prescriptions, medical admission/discharge certificate and fitness certificate issued by registered hospital/practitioner). In such cases, student’s eligibility for the award/renewal of scholarship will be based on the MOP. The decision of the Scholarship Committee shall be final and binding in this regard.

5. Revocation of Scholarship:

Award of the scholarship will be cancelled for the following reasons: 

5.1 A Student has furnished false data/statements while applying for the award of Scholarship.

5.2 A Student is suspended (or under Scholastic Probation) or facing any disciplinary action due to his/her conduct or deferred decision due to poor academic performance (as mentioned in MOP).

5.3 If it is determined that it will be impossible for a student to complete the course within the standard period of study because of suspension or absence from the University.

5.4 A student has received another scholarship from an institution/entity outside the University.

5.5 If the student joins another program without obtaining approval from the Academic Dean during the period of the scholarship.

5.6 Good conduct and regularity in attendance as mentioned above are also required for continuance of the scholarship.

In case of non-compliance to any of the above-mentioned terms and conditions, the student will have to refund the scholarship amount received and shall not be eligible for any scholarship in future. The decision of the Scholarship Committee will be final and binding in all such matters. Scholarship once cancelled will not be revived under any circumstances.
